Crew Fuel & Cost Planner

Create fair fuel limits per crew based on distance, vehicle efficiency, and travel frequency. Print a clean PDF report for approvals.
Fuel price
$ / litre
Enter the price per litre (metric) or per gallon (imperial).
Measurement system
No conversion is applied. Inputs are interpreted in the selected system.

Rules:
  1. Choose Metric (km & litres) or Imperial (miles & gallons).
  2. Set your fuel price per litre/gallon.
  3. For each row (crew + vehicle type), pick distance mode:
    • Per Travel Day: distance is the round-trip for a day they travel.
    • Weekly Distance: distance is the total weekly distance (irregular schedules).
  4. Set Travel Days/Week (0–7).
Calculations:
  • Fuel = Distance ÷ Efficiency
  • Per Travel Day mode:
    • Weekly distance = Distance × TravelDays/Week
    • Fuel/Week = (weekly distance ÷ efficiency) × vehicles
    • Fuel/Day = Fuel/Week ÷ 7 (average per calendar day)
  • Weekly Distance mode:
    • Fuel/Week = (weekly distance ÷ efficiency) × vehicles
    • Fuel/Day = Fuel/Week ÷ TravelDays/Week (if > 0, per travel day), otherwise Fuel/Week ÷ 7
  • Cost = Fuel × Fuel price, and Month ≈ Week × 4.33.
